Job Summary

This position is to assist the Director of Leasing and MOB Leasing staff with lease administration activities consisting of 340 lease agreements in 9 medical office buildings (assigned properties) of the medical office building portfolio containing 1.5 million square feet, focusing on serving the needs of both professional and retail tenants.   Responsibilities also include tenant relations and communication, lease revenue and tenant improvement budgeting, and leasing and occupancy reports.



  1. Respond promptly to internal and external tenant and customer requests and provide a supportive environment.
  2. Interface with tenants and MOB staff with day-to-day leasing operations.
  3. Strive to exceed tenant, customer and co-worker’s expectations.

 FINANCE – 10%

  1. Performs other project related duties as assigned by the Director, including, but not limited to, the areas of budgeting and assisting with reconciliation of tenant construction projects.
  2. Assist with drafting correspondence pertaining to rent collections.


  1. Assist the Director in preparing and maintaining information for market surveys, occupancy reports, lease expiration reports, space availability reports, stacking plans and various other reports as requested or necessary for the portfolio.
  2. Update and maintain a waiting list for all properties in the portfolio.
  3. Assist the Executive Secretary in maintaining leasing control books.
  4. Assist the Executive Secretary with tenant insurance tracking to ensure the tenants in the assigned buildings have on file current insurance certificates. 


  1. Assist the Director and MOB staff in interfacing with tenants on leasing and building service issues.
  2. Communicate lease terms, building policies, procedures, practices and information to tenants via correspondence, internal publications and meetings.
  3. Assist the Director with the development, drafting and ensuring execution of all leases and lease related documents, including lease assignments, lease amendments, lease renewals and subleases for the assigned buildings.
  4. Promote the buildings and services to the tenants and potential tenants.


  1. Create and maintain system of tracking expiration dates of leases, timeshare and sublease agreements for the portfolio.
  2. Always look for methods or techniques to improve work and time efficiency.


High School Diploma or G.E.D. required. Bachelor's degree preferred. 


Requires a minimum of three (3) years related experience in commercial office building leasing, lease/contract administration and property management




Excellent oral and written communication skills, organizational skills, computer skills and analytical abilities are required.   Good knowledge of terms utilized in lease and lease related documents is essential. Must be proficient in Microsoft Word, Excel and Outlook.


This position has normal office environment conditions.   Frequent inspections of property required to inspection of vacant suites and high-quality maintenance of building operations and tenant services.   Travel to off-site office buildings to maintain relationships with tenants and familiarity with property conditions will also be required.  No significant physical effort required.
