Houston Methodist The Woodlands Hospital, located at the intersection of TX 242 and I-45, is scheduled to open in July 2017. Construction includes a 150,000-square-foot medical building, which opened March 2016. The Medical Office Building 1 includes a Breast Care Center, Cancer Center & Infusion Center, Orthopedics & Sports Medicine, Wellness Services, Outpatient Laboratory and Therapy, in addition to multi-specialty physician practices.


Job Summary

JOB SUMMARY

The Office Coordinator is responsible for the smooth and effective operation of the reception area; patient scheduling; admission/registration; insurance pre-certification/authorization; charge entry and tracking; and medical record integrity activities of department of Rehabilitation Services.  The financial tracking of charges and revenues is an important aspect of this position.

PRIMARY JOB RESPONSIBILITIES

PEOPLE - 20%

1.    Demonstrates the components of the I CARE values statement.  (EF)

SERVICE - 20%

1.    Reception/Scheduling/Patient & Family Interaction (EF):

2.    Maintains the patient scheduling system for appointments, walk-ins, cancellations and new patients.

3.    Trains other staff on this System and is available in time of heavy volume for cross coverage.

4.    Schedules patients in accordance to preference and into correct rehab modality with respect to therapist rotation status.

5.    Keeps current on insurance plans accepted at the Hospital by continuously communicating with Patient Access Services and advises patients of the care that is covered by insurance plans. 

6.    Responsible to collect any required co-pays and deductibles.

7.    Complete Advanced Beneficiary Notices as required.

8.    Maintain any correspondence necessary for effective communication to patients.

 QUALITY/SAFETY - 20%

1.    Compliance/Documentation (EF)

·         Ensures that the appropriate documentation is present necessary to complete accurate billing data.

·         Work with the Patient Financial Services Department to keep updated on billing data, training and patient data entry.

·         Enters correct data for charge entries as well as make any corrections necessary.

·         Submits documentation as requested for Quality Review data.

2.    Medical Records (EF)

·         Ensures that all necessary chart forms are on the charts prior to the patient visits.

·         File test reports/signed dictation in a timely manner.

·         Ensure timely completion of the chart per hospital policy.

·         Ensure scanned, copied or oritional record goes to Medical Records in a timely manner as per hospital policy.

  • Ensure discharge charts are broken down per Medical Records format and policy.
  1. Follows all safety rules while on the job.  Reports accidents promptly and corrects minor safety hazards.  Communicates with peers and management regarding any hazards identified in the workplace.  (EF)

FINANCE - 20%

1.    Finance/Billing:

·         Obtains insurance pre-certification/authorization for patients and generate reports as necessary.

·         Adheres to the billing and collection policies applicable to this position.

·         Conduct daily charge entry per hospital policies.

·         Verify coverage of insurance plans, number of visits and document into patient registration system. 

·         Reconcile any entries that are to be corrected in a timely manner.

·         Work with the hospital to ensure that the most current charge master is being utilized as well as the super bill when appropriate.

  • Provide documentation to physicians as needed.

GROWTH/INNOVATION - 20%

1.    Office/Clerical (EF):

·         Provides schedule to staff on an as needed basis.

·         Effectively enters patient information into the hospital’s registration and billing system.

·         Enters information into Insurance Verification system for approval and pre-certification.  Follows for approvals and communicates any in-eligibilities to the patient so that other methods of financial assistance may be achieved.

·         Prepare new charts as needed as well as provide documentation to the hospital’s Medical Records Department.

·         Assure that the patient documented reports are filed appropriately.

·         Prepares all departmental check requests for management to review/approve.

·         Acts as a point of reference for facility, vendor and services calls on behalf of the department.   Follows these work requests to successful completion.

·         Assists in review of payroll for Manager/Director’s approval.

·         Maintains clinical licensure of all registered staff to remain compliant of state requirements for each discipline within the department.  Notifies management when individual is nearing re-certification.

·         Orders both clinical and non-clinical supplies while adhering to the monthly established budget for supplies.

·         Tracks and reports scheduling statistics and turn-around times for department leadership.

EDUCATION REQUIREMENTS

High School Graduate required, Associates Degree preferred.

 

EXPERIENCE REQUIREMENTS

Three years of healthcare or related experience required.

  • Excellent mathematical skills, written and verbal communication skills.
  • Working knowledge of various software packages, such as Microsoft Office software.

  • Ability to develop and maintain productive working relationships to fully integrate within a team.

 

WORKING ENVIRONMENT

Indoor environment; must be flexible and able to work any hours as required with possible rotating shifts, and some overtime; must be able to access all areas of the hospital easily.
