JOB SUMMARY
The APEC Coordinator receives and maintains health information for preoperative patients and serves as an interface with surgeon office staff concerning patient's status for surgical preparation. The APEC Coordinator assists nurse practitioners and nursing staff in transfer of health information to an electronic format and preparation of the paper chart for the intake areas. The APEC Coordinator performs key functions that support the multidisciplinary team in delivering high quality, cost-effective care. The APEC coordinator employs effective communication skills in all interactions and promotes good customer relations and maintains competency requirements for computer medical terminology and other job related functions. Oversees multiple priorities and uses organizational skills to maintain an orderly environment. The Coordinator practices Relationship Centered Care in concert with The Methodist Hospital values. Coordinators will have interactions with all levels of staff and management, physicians, patients and families to obtain information and properly maintain and assemble the patient record. The employee will use independent judgment and clinical knowledge to adjust schedules and accommodate special requests from internal and external customers.

DUTIES AND RESPONSIBILITIES
PEOPLE 30%
- Demonstrates knowledge and appropriate use of the hospital systems and serves as a resource to physicians, patients, visitors and staff. (EF)
- Utilizes courteous and professional telephone techniques and interpersonal skills to establish and maintain rapport with patients, physician/office personnel and various hospital personnel while maintaining patient confidentiality. Appropriately utilizes phones system to transfer calls, triage phone messages from patients and health care providers.Assists Management in developing timely performance appraisals for technical staff, as well as developing and accessing technical competencies for Radiation Therapists and Simulation Technologists. - Demonstrates initiative in ensuring all aspects of technical and professional competency are met to foster a positive, teamwork focused workplace environment. (EF)
- Generally works well with others to make contributions to the work effort as a whole and facilitates problem resolution. Communication to promote both efforts is clear, professional and appropriate to the age of the patient served. (EF)
FINANCE 10%
- Inventories, monitors and orders supplies to maintain par levels. (EF)
QUALITY/SAFETY 25%
- Protects patient and family privacy rights and maintains confidentiality of patient records and computer security codes, as well as protects the integrity of privileged information. (EF)
- Organizes the work flow, problem-solves, and manages multiple ongoing priorities with minimal supervision. (EF)
- Demonstrates competency and leadership in delivering planned course of radiation therapy accurately and safely in compliance with established safety standards. (EF)
- Follows all safety rules while on the job. Reports accidents promptly and corrects minor safety hazards. Completes all hospital required and job-related in-services and applies the information as needed. (EF)
- Maintains APEC appointment system. (EF)
- Delivers charts to surgery areas the evening before surgery date. (EF)
- Demonstrates proficiency in the use and maintenance of clerical equipment, such as computers, facsimile, facsimile server and printers. (EF)
- Maintains an orderly environment that facilitates access to supplies, manuals and other resource information. (EF)
SERVICE 25%
- Provides prompt and personalized service to all patients. and physician office staff. (EF)
- Receives information from various sources that is assimilated and communicated in an accurate, timely, and effective manner. (EF)
- Demonstrates proficiency in electronic filling of testing results, H&Ps and other health information using the electronic filing system using surgery date. (EF)
- Updates filings with date changes for surgery using electronic transmitted notes. (EF)
- Maintains patient records during patient visit and reconciliation period.(EF)
- Creates and maintains patient records in pending and cleared status. (EF)
- Electronically transmits consults to physician offices as requested by Nurse Practitioners. (EF)
- Obtains testing results from physician offices, MethOD and various testing sources. (EF)
- Assembles patient chart with test results, nursing and physician information. (EF)
- Assist in patient flow in clinic. (EF)
- Responds to request for information from patients, physicians, physician office staff and perioperative areas. (EF)
- Transfers patient self-reported information from Health Questionnaire to OR Manager excluding medication record. (EF)
GROWTH/INNOVATION 10%
- Proactively communicates ideas and suggestions to help improve patient flow in the clinic to better serve OR clients. (EF)

Qualifications:
EDUCATION REQUIREMENTS
High School diploma or equivalent required.
EXPERIENCE REQUIREMENTS
Two years of secretarial/office or college/vocational training required. Prior health care experience and/or experience with medical terminology preferred.

Basic CPR
SPECIAL KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
