Job Summary

POSITION SUMMARY

Provide general clerical support by working closely with the International Patient Liaisons and Medical Referral Specialists to consistently achieve excellent outcomes in experience, and service for all.  Provide administrative, secretarial skills and knowledge to the Global Health Services Patient Liaisons.

JOB RESPONSIBILITIES

Duties and Responsibilities are cross-referenced to the hospital’s Pillars of Excellence and will be transferred to the Performance Evaluation.

 PEOPLE (30%)

  1. Conduct new patient orientation of hospital services, roles and responsibilities, including Methodist financial processes and policies and procedures(EF)

  2. Escort patients to their appointments/services areas as needed (EF)

  3. Provides prompt and personalized service to patients (EF)

  4. Schedule patients for future appointments as needed

  5. Review daily patient appointment load and advise as needed.

  6. Demonstrates the components of the ICARE Values statement. (EF)

FINANCE (5%)

  1. Manage filing and obtaining embassy financial coverage documents (EF)

    QUALITY/SAFETY (5%)

  2. Assist in entering patient information in department’s software system (EF)

  3. Update list of hotel accommodations bi-annually (EF)

  4. Protects patient and family privacy rights and maintains confidentiality of patient records and computer security codes, as well as protects the integrity of privileged information (EF)

  5. Receives information from various sources that is assimilated and communicated in an accurate, timely and effective manner (EF).

    SERVICE (55%)

  6. Perform department functions such as answering telephones, troubleshooting and directing calls to the appropriate person in a professional manner. Files, faxes, photocopies, mails and maintains department filing system.(EF)

  7. Arrange hotel accommodations, airport assistance, and transportation for patients, as needed (EF)

  8. Assist in obtaining demographic patient information from patients in the waiting area, when needed (EF)

  9. Drop off and pick-up 2nd opinion patient medical reports to/from physicians’ office (EF)

  10. Manage Letters of Guarantee (LOGs) by filing them accordingly and providing them to health care providers at HMH as needed (EF)

  11. Place daily reminder calls to all patients with 2nd day appointments (EF)

  12. Obtain patients’ medical reports from physicians’ offices and through HMH’s HPF system (EF).

  13. Provide an effective communication link between patient and medical staff, including relaying messages from providers, gathering information from patients for providers, etc. (EF)

  14. Carry out the Methodist Experience.Create personalized patient kits, welcome letters and Houston visitor information.

  15. Assumes back-up duties for front desk. (EF)

    GROWTH/INNOVATION (5%)

  16. Seek continuous professional development opportunities on topics such as guest relations, patients' rights, and medical issues.

  17. Identify opportunities for process improvement to make processes work better for patients, visitors, and department.

EDUCATION REQUIREMENTS

High School Diploma or GED required

Bachelor’s degree in healthcare or related field preferred.

EXPERIENCE REQUIREMENTS

Four years of administrative experience including one year in a health care organization or a bachelor’s degree in lieu of work experience. Two years of clinic/outpatient

CERTIFICATES, LICENSES AND REGISTRATIONS REQUIRED

None

 

SPECIAL KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  1. Proficiency in oral and written English. 2nd language a plus

  2. Good medical/clinical assessment skills and proficient in medical terminology.

  3. Comprehensive knowledge of physician referral protocol and hospital policies and procedures.

  4. Understands cultural diversity.
