Job Summary


The Information Specialist I provides support to Advancement Services in information management, gift administration and a variety of general and specific office functions centering on the activities of The Methodist Hospital Foundation (TMHF). Collaborates in all aspects of gift and pledge processing, acknowledgements and reconciliation as well as the collection, verification and entry of data, including queries, imports and exports of information into TMHF’s database, Raiser’s Edge.  Prepares routine and complex correspondence, memoranda, reports, etc.  Operates a personal computer and appropriate software packages, including Raiser’s Edge, Word, PowerPoint, Excel, and other Microsoft packages.

  1. Contacts appropriate Hospital/Foundation personnel and donors to clarify gift information as needed. EF
  2. Maintains an awareness of Houston Methodist constituencies, key donors and the fundraising process. EF
  3. Builds and maintains rapport with a variety of internal and external constituents.
  4. Partners with other team member to validate results.
  5. Manage the flow of information relating to gifts between the necessary units (finance, Foundation, end user, fundraiser)


1.Analyzes and executes queries, imports, exports and reports of gift and constituent information as needed. EF

2.Addresses and resolves any information or discrepancies that arise. EF

3.Updates new address, employment, membership, and demographic information in Raiser’s Edge. EF

4.Files documentation and receipts. EF

5.Uses paper, electronic and SharePoint files to maintain TMHF donor and Restricted Fund information.



  1. Accurately enters gifts into donor database, ensuring that all are coded correctly according to donor identity, campaign, purpose, gift amount, and any restrictions or reporting requirements that may apply and assists with monthly reconciliation. EF
  2. Ensure the accuracy and integrity of Raiser's Edge information that is provided to fundraising staff and other internal leaders
  3. Promptly and accurately acknowledges gifts in keeping with Foundation policy. EF
  4. Assists with data clean up, data archiving and data analysis projects. EF
  5. Design and implement operational reports to track actual progress of fundraising programs toward campaign and fiscal year goals;
  6. Analyzes and interprets the data to identify issues and recommend appropriate methods to resolve
  7. Ensures that deadlines are met at peak times.



1.Processes daily donations received from online bank files and other sources and evaluates, sorts and totals donations in order to maintain correct gifts batches. EF

2.Carries out administrative functions such as filing, faxing, photocopying and mailings as needed to support information management and gift administration, including tracking of department budget and expenditures. (EF)

4.Utilizes department resources/supplies efficiently.

High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)



Five or more years of office experience with word processing, spreadsheets and databases.

Requires working knowledge of relational database/fundraising software (Raiser’s Edge preferred) and/or accounting system (PeopleSoft preferred).

Experience with Microsoft Word, PowerPoint, and Excel required.

  • Interpersonal skills to work effectively with hospital administrators, physicians, donors, prospective donors, volunteers and the public.
  • Ability and willingness to work with fundraising colleagues in a team-oriented environment and to help set expectations regarding development services products and timelines.
  • Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security.
  • Ability to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus and application of positive language principles.
