At Houston Methodist, the Residency Program Coordinator position is responsible for working closely with Methodist's Graduate Medical Education (GME) office and attending physicians. This position supports the program directors, the faculty, and the Residents by coordinating administrative functions for residency training programs with no less than 12 residents and no more than 24-30 residents in one program or in two to three programs of like specialty. The Residency Program Coordinator position may also coordinate small 3rd or 4th year medical student rotations.

QUALIFICATIONS

EDUCATION

  • High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)


EXPERIENCE

  • Experience in an academic setting in the coordination of residency and/or fellowship training programs preferred

  • Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through on-going skills, competency assessments, and performance evaluations
  • Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security
  • Ability to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus and application of positive language principles
  • Competent knowledge of all Microsoft Applications, including word processing, spreadsheet, and graphics software
  • Ability to function independently and work well as cross-functional and interprofessional teams

ESSENTIAL FUNCTIONS

PEOPLE ESSENTIAL FUNCTIONS

  • Coordinates observers, rotating residents, fellows, and all medical school rotators with appropriate staff in the Department of Graduate Medical Education. Maintains up-to-date department Alumni database.
  • Works with Program Directors, the department administrator, and the residents to facilitate all aspects of the Residency training program, which may include some public relations and/or efforts to improve the facilities or services available for the Residents.
  • Provides contributions towards improvement of department scores for employee engagement, i.e. peer-to-peer accountability.


SERVICE ESSENTIAL FUNCTIONS

  • Coordinates all administrative aspects of the residency program. Assists with New Resident Orientation. Assists with the institutional graduation ceremony.
  • Participates in the Internal Review process as a member of the Internal Review Panel for other programs. Supplies required information to the Department of Graduate Medical Education for Internal Review.
  • Coordinates and schedules all aspects of conferences, including presenters, audio/visual equipment, and meals and/or refreshments.
  • Updates operative statistics, publications, grants, and residency information on the department’s web site on a regular basis.


QUALITY/SAFETY ESSENTIAL FUNCTIONS

  • Enters and maintains accuracy of data into applicable software, including demographic, rotation, schedule, evaluation, conference, and licensure information. Maintains current database of faculty and resident publications, grants, presentations, and awards.
  • Updates GME on Licensure, Permit and Certification standing of all residents.
  • Assists with data collection for the Residency accreditation reviews. Assists in data collection for questionnaires or medical record-based research projects. Participates in performance improvement activities to support department/entity goals.


FINANCE ESSENTIAL FUNCTIONS

  • Prepares reports on operative procedures, as needed, for program directors, the department annual report and web site, the Methodist GME office, and the Accreditation Council for Graduate Medical Education (ACGME) Residency Review Committee (RRC).
  • Works with the management on the Program Budget. Uses resources efficiently; does not waste supplies. Utilizes time efficiently and helps other team members. Contributes towards meeting department financial targets through optimizing efficiency and other areas according to department specifications.


GROWTH/INNOVATION ESSENTIAL FUNCTIONS

  • May serve, upon election, to the Graduate Medical Education Committee (GMEC) and other designated department committees.
  • Offers innovative solutions through participation in performance improvement projects and activities. Follows up on action items to ensure completion of assignments.
  • Identifies and assumes responsibility of own learning needs and seeks continuing education opportunities to meet those needs. Completes and updates the My Development plan on an on-going basis. Ensures own career discussions occur with appropriate management.
