At Houston Methodist, the Senior (Sr) Staffing Analyst position is responsible for functioning as the subject matter expert for staffing analysts. The Sr Staffing Analyst must be well versed on the requirements of the Staffing Analyst position in addition to the requirements of this position. This position is directly responsible for advanced analysis of staffing needs and optimizing internal processes to effectively schedule employees to meet those needs. In addition to performing the duties of the Staffing Analyst, this position will effectively train other staffing analysts on internal operating procedures to ensure the department can effectively identify staffing demand, schedule employees effectively and balance schedules according to need and unit characteristics. The Sr Staffing Analyst position requires advanced critical thinking skills and the ability to work independently and make autonomous staffing decisions based on an advanced understanding of hospital throughput and staffing needs for multiple hospital unit types or clinical care areas. This position evaluates current and future staffing needs and performs daily/weekly/extended staffing to fill nursing care needs and communicates the staffing to the different departments. The Sr Staffing Analyst position communicates and distributes reports to leadership for determining team productivity and staff utilization ensuring compliance with scheduling and time and attendance policies and procedures by both employees and managers, within schedules and timecards. This position analyzes and prepares information to assist in controlling overall staffing costs and employee engagement regarding staffing and scheduling. The Sr Staffing Analyst position acts as a resource to staffing analysts and management on scheduling/staffing utilization, education and interpretation of generated staffing/scheduling reports. This position requires expert experience and knowledge of staff scheduling processes, procedures and systems in a hospital setting.
Requirements:
- Serves as a resource and trainer for less experienced and new staff; orients, guides and mentors team members to help build confidence and competency in skills, knowledge and abilities. Assists staff in training for the scheduling systems for all new employees and educates/troubleshoots problems with the online staffing system.
- Motivates team members to drive operational efficiency and quality. Proactively communicates staffing issues to leadership and compiles data for a daily shift report, indicating current progress of staffing needs.
- Role models' healthy work relationships such as mitigation of conflict, leading problem-solving and resolution efforts. Drives initiatives to improve department scores for employee engagement.
SERVICE ESSENTIAL FUNCTIONS
- Establishes and maintains schedule for other staffing analysts to ensure appropriate coverage to meet departmental needs. Uses high-level critical thinking skills to determine staffing resource allocation that will meet client department and system needs.
- Assesses system staffing needs and balances distribution of resources based on department type/location and local and system staffing support. Projects staffing needs for weekend and holiday coverage, filling those positions as needed. Utilizes problem-solving skills and statistics to adequately assign staff, resolve staffing issues, and improve communication with patient care units.
- Reviews and edits department standard operating procedures, requirements, specifications and recommendations related to staffing operations. Serves as a resource to the units when new staffing policies and procedures are developed.
QUALITY/SAFETY ESSENTIAL FUNCTIONS
- Monitors for department compliance with Houston Methodist standard operating procedures and credential expirations. Proactively alerts management to potential issues. Ensures float staff work their contracted commitment levels and follow department's staffing guidelines. Reviews staffing reports to track utilization by department and report concerns to management.
- Maintains staffing data integrity and compiles basic reports for Project Manager for advanced analysis. Tracks shift cancellations, call-ins and unscheduled absences and report violations of the department's staffing guidelines to management team. Develops and presents staffing improvement recommendations to management.
- Identifies and initiates innovative solutions through participation in performance improvement projects and activities. Follows up on action items to ensure completion of assignments.
FINANCE ESSENTIAL FUNCTIONS
- Tracks overtime utilization by float staff and staffing analysts and proactively identifies opportunities to address. Ensures that scheduling processes are optimum to minimize and control the use of premium labor (overtime, contract labor, etc.).
- Prepares and provides projected monthly System Staffing and Scheduling analysis to participating department managers for review and approval.
- Utilizes resources with cost effectiveness and value creation in mind. Self-motivated to independently manage time effectively, minimizing incidental overtime, and prioritize daily tasks, assisting coworkers as needed.
GROWTH/INNOVATION ESSENTIAL FUNCTIONS
- Continually seeks opportunities to increase customer satisfaction and deepen client relationships, effectively managing client expectations.
- Proactively identifies process and performance improvement opportunities within the department and effectively implements approved changes.

Qualifications:
- High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)

WORK EXPERIENCE
- Four years of experience in healthcare staffing or scheduling or related field which includes three years' experience with an electronically automated time and attendance/scheduling system or related function
